Overview

The AI Field Suggestion Assistant provides real-time feedback to users as they fill out forms, ensuring thorough responses that are consistent with predefined standards. This tool is particularly useful in areas such as Audit and inspection verifications, CAPA action descriptions, Incident descriptions, Quality Event descriptions, and Work Observation descriptions.

Use Case

An employee is filling out a Work Observation form. As they enter details about a safety issue, the AI suggests including specific information about the observed behaviors and conditions, enhancing the quality of the report.

Using AI Field Suggestion Assistance

PREREQUISITE: The user must have the “Copilot AI - Field Suggestions” site setting enabled for the supported form. 

In order to use the AI Field Suggestion Assistance:

  1. Begin by filling out a form in the supported areas (e.g., Audit & Inspection, CAPA action description, Incident event description, and Work Observation description).
  2. Receive Suggestions: As you type, the AI will offer suggestions to improve your input and give a rating score.

  3. Refine Response: Adjust your input based on the suggestions provided until the AI indicates the response meets the quality threshold.
    NOTE:  The AI will stop providing suggestions once the response meets the set data quality standards.
  4. Submit Form: If the form does not meet the quality threshold, you may receive a warning upon submission, which you can either address or bypass.  When the "Show Warning On Submit" site setting is enabled for the form.

NOTE: The Field Suggestion Assistant feature is not available when working offline or when users are entering forms anonymously. 


Copilot Data Analysis settings.

System Administrators can define the rules that AI will evaluate against to rate and provide in-form data improvement suggestions.

Access the Copilot Data Analysis settings

In order to access the Copilot Data Analysis Settings:

  1. Select Administration from the Navigation Menu 
  2. Select Copilot Data Analysis under the Site Owner tab
  3. Define the Field-Level Quality Suggestions for each form field

NOTE: The system is provided with default rule definitions for each area. System Administrators have the ability to modify existing rules and add new rules.
